Coordinated Access Project Assistant

Lu’ma Native BCH Housing Society is seeking to fill the position of Coordinated Access Project Assistant on a Permanent Full-Time basis.

Job Summary:

The Coordinated Access Project Assistant will work directly with homelessness service providers in our network to provide and collect system documentation, support training scheduling and registration, and act as a point of contact for basic questions about our network and system.

 

Key Responsibilities:

 

Data Management and Systems Support:

• Input and maintain accurate data in the Coordinated Access system;

• Assist in comprehensive systems mapping activities;

• Ensure all program information remains current and accessible;

• Generate and compile reports from the Coordinated Access database;

• Troubleshoot basic system issues and escalate complex problems appropriately.

 

Program Administration:

• Support the day-to-day operations of the Coordinated Access program;

• Assist with scheduling and coordinating meetings related to the program;

• Maintain organized documentation of program activities and outcomes;

• Follow established protocols and procedures for data privacy and security;

• Help prepare materials for program reviews and evaluations.

 

Community Communication:

• Serve as a point of contact for basic program inquiries;

• Communicate effectively with internal team members and external partners;

• Document and relay stakeholder feedback to appropriate personnel;

• Assist in coordinating community partnership activities;

• Support outreach efforts to potential program participants.

 

Continuous Improvement:

• Identify opportunities to improve data collection and management processes;

• Participate in training sessions to enhance program knowledge;

• Contribute to the development of best practices for program implementation;

• Assist in monitoring program metrics and key performance indicators;

• Support the implementation of program adjustments based on evaluation findings.

 

Qualifications/Skills & Abilities:

 

Education and Experience:

• Associate's degree in human services, social work, community development, or related field required; Bachelor's degree preferred;

• Minimum of 1-2 years of experience in community services, data entry, or administrative support roles;

• Experience working with vulnerable populations and/or in social services settings is highly desirable;

• Prior experience with database management and reporting systems is a plus.

 

Technical Skills:

• Proficient in Microsoft Office suite, particularly Excel and Access;

• Experience with database management and data entry systems;

• Basic understanding of data visualization tools;

• Ability to learn new software applications quickly;

• Competence in digital filing systems and information management.

Knowledge Areas:

• Basic understanding of social services systems and community resources;

• Familiarity with housing and homelessness issues preferred;

• Knowledge of privacy regulations related to personal information;

• Understanding of coordinated entry systems and their importance in community service delivery;

 

All positions are subject to a Vulnerable Sector Criminal Record review process.

 

Hours and Remuneration:

Permanent Full-time position, 40-hours work week with a 1 hour unpaid meal break; 8:30 am until 4:30 pm, Monday to Friday.

Salary $82 227 per annum plus Statutory and Paid holidays, Vacation, Employer paid Benefits plans and programs, PSPP and other paid leaves. Sick leave awarded on a pro rata basis.
